Digitization Events of DPDC
For the last few years, ICT Circle of DPDC has undertaken several initiatives to digitize different functions of the organization. Some of them are successfully running and the others are on the way to launch soon. To execute the motto of DPDC- “Dependable Power – Delighted Customer”, ICT circle is doing its best to provide digitized customer services. On the way to make DPDC digital, the following achievements were earned by ICT circle:
(a) Automation for in Customers/Public:
Contact Centre/Complaint Management System: To provide quickest response to customer’s need, ICT circle of DPDC has developed and implemented the Computerized Complaint Management System for tracking and monitoring the Customer complaint at DPDC’s Dhanmondi NOCS office as pilot project. With the help of this system, complaint status can be monitored and telephonic conversation between the customer and control supervisor could be recorded in the system. Now the management of DPDC has decided to enhance its usability and going to establish a complete Contact Centre for all customers.
Payment Automation: For the customers of DPDC, ICT circle is now creating environment of payment automation and also working on it for further development. Now-a-days customer can pay their bill through their Grameen Phone mobile or in authorized bill pay center with the co-operation of ICT circle. Moreover, other mobile operators will be incorporate in this process very soon. Also, the customers can pay their bill through any branch of Southeast Bank Limited which is electronically posted in DPDC’s server and also the customers of southeast Bank can pay their bill from residence through internet banking. Besides that, auto debit settlement of Standard Chartered Bank, easy pay machine of HSBC is available for the customers for bill payment. To enhance automation of payment system ICT circle has developed software with BRAC Bank Limited and it will commence soon. Moreover, any customers of DPDC will be able to pay their electricity bill through internet very soon.
Locally Bill Preparation with Central Monitoring: To provide better customer services, all the 32 NOCS divisions produce their bills locally so the customers can get one stop services from the NOCS division locally. The billing data is transferred from local server to central server through intranet connectivity.
e-Recruitment: To make recruitment process simple, ICT circle has developed e-Recruitment software. Both DPDC officials and applicants will get relief from the manual procedure of recruitment process. DPDC will start this on-lime on line recruitment system as a part of it’s digital activities as soon as possible.
e-Connection: At the present time, people can apply for new connection through DPDC’s web site which is effective and time saving as well. Now it is successfully running at Dhanmondi office and very soon it will be executed all 32 NOCS offices of DPDC.
Interactive website: At present, DPDC has very attractive as well as informative web site (www.dpdc.org.bd) which is maintained and updated from ICT circle. Any customer can get any information from the website such as, electricity bills and ledger, load shedding schedule and information, tender notice, SCADA system information, tariff rules and rate etc.
Prepaid Metering System: Postpaid billing system is very old and bothersome system for the customers. Wrong bill/reading may be generated for being handled by human being. By reducing this, the management of DPDC has decided to go for prepaid billing system. ICT circle of DPDC is taking necessary steps in this matter and the system will be launched in a very short time.
AMR: DPDC has introduced Automatic Meter Reading technology partially for its customers to get the meter reading through online from AMR meter to Server. Meter tempering could be identified by this system. ICT Circle is providing full support in AMR system.
(b) Automation for in house requirement:
Human Resources Management: DPDC is trying to enhance their management function and have a efficient control over their employee records. In order to fulfill these human resource requirements in a more efficient way, ICT Circle has developed Human Resource Information System (HRIS) Software and it will be put into service soon.
Attendance Monitoring System: It is essential to ensure employees presence in the office and also time spent in work at the office to achieve greater productivity from the employee. ICT circle has introduced automated attendance monitoring system which is successfully running at ICT circle and gradually it will commence all over the DPDC.
Accounting Management System: A complete automated accounting system is crucial for DPDC just like any other organization. Now a standalone accounting software is successfully running throughout the DPDC. ICT circle is going to launch a complete web based automated accounting system soon.
Key Performance Indicator and MIS Monitoring System: Sum of performances of individuals as well as different offices of DPDC is the overall performance of DPDC. As an enterprise of the government, DPDC has got some targets to achieve set by the Power division (Ministry of Power Energy and Mineral Resources.). To reach the target, it is mandatory to monitor the key performance of different functions of the organization. Automated KPI system can do this easily and help the management to take necessary steps. Here, the purpose of MIS is to provide profitability and related information to help authority understand business performance and plan its future direction. This part is important for the management and that is why ICT circle has developed as web based KPI and MIS monitoring system which is running quite efficiently.
Training Management System: Training is a continuous process and it is necessary to provide training for the employees of the organization. But it is very complicated to running a training management system manually in a large organization like DPDC. ICT circle has developed an automated training management system for DDPC’s training and development office.
Store Management System: Store Management system is successfully running in DPDC with central server system in real time mode with the help of intranet connectivity. The stock balance of store could be monitored any time by the system. To make the software more effective ICT circle is continuously developing it. Very soon, it will get some more new features along with a web based version of the system.
IP Phone and Related Hardware: Most of the offices of DPDC are under online connectivity. ICT circle is going to procure IP phone and related hardware for making communication among different offices of DPDC cost effective by using this online connectivity. ICT circle already has begun testing the system internally and very soon it will be implemented all over the DPDC.
(c) Other Activities:
ICT circle of DPDC is not only working on the afore mentioned tasks but also working on its existing software for its further modification as per requirement. Moreover, ICT circle has successfully taken part in national digitization activities like e-Asia, Digital Innovation fair etc and got lots of praise for that.
Future Planning of ICT:
- To provide better customer services and to make company profitable and efficient, use of ‘information technology’ has no substitute. For using modern technology, ICT circle has taken the following future plans:
- To maintain track of files, DPDC is going to develop e-file movement software.
- To monitor project works and its development of project offices, ICT circle is working with Power Division of ministry and developing a web based software so that both Ministry and DPDC authority can monitor project development works.
- To make procurement process free and fair, ICT circle of DPDC is working with Central Procurement Technical Unit (CPTU). With the help of CPTU, DPDC will start e-Tendering system shortly.
- To keep track of the fixed assets of the company in a convenient form, ICT Circle of DPDC will develop a Fixed Assets Management Systems.
